What is photo proofing?

Proofing is the step between shooting and final delivery where your client looks over the images and decides which ones they want. In a proofing gallery the photos are protected, usually with a watermark, so a client can choose freely without being able to walk away with the whole set before the order is settled.

It is how many photographers sell individual images, run packages with a set number of photos, or let a client pick the shots for an album. If you have been searching for client proofing software, the idea is simple: clients choose, you release, and only released photos come out clean.

How proofing works in Pxture

  1. Turn on proofing for a gallery. Photos are shown to clients with your own watermark on them. Use text such as your studio name, or upload a PNG logo.
  2. Clients mark favorites. They tap the heart on every photo they want. You can set a favorites limit, for example 25, to match the package they bought.
  3. You review the picks. See which photos your client chose, and talk through anything you want to change.
  4. You release the chosen photos. Released photos become downloadable clean, at full resolution, without the watermark. Everything else stays protected.

Proofing is available on the Plus plan and higher. Plans from Basic down do not include it. Check the plan comparison to see where it fits.

Your watermark, your way

A watermark only helps if it suits your photos. Pxture lets you use the studio name as text or upload a PNG logo, so the mark matches your branding. You choose where it goes: repeated across the photo, centered, or tucked in a corner. You can also adjust the strength, so it is clear enough to protect the image without ruining the viewing experience.

Because the watermark is yours, proofs look like a natural part of your business rather than a generic sample. It is separate from the small Pxture logo that appears on photos delivered from the Free plan, which paid plans remove.

Selling per photo or by the package

Proofing fits the way many studios already price their work.

  • Per-image sales. Clients mark the photos they want. You release exactly those once the order is settled.
  • Packages with a set number of images. Set a favorites limit that matches the package, such as 25, so clients choose within it.
  • Album selection. Let a couple or a family choose the shots for a book, then use their favorites as your starting point.
  • Staged delivery. Keep downloads off while clients choose, then release when you are ready.

Pxture gives you control over what is released; how you agree prices and take payment is up to you and your client. If you want to see how the rest of the gallery behaves, read about the client photo gallery experience.

A proofing process your clients will actually follow

The best proofing gallery is the one clients are not afraid to open. Pxture galleries load fast and work on a phone with a two-column layout and a full-screen viewer, so a client can go through their choices on the sofa that evening. Hearts are one tap, and the choices are saved against the gallery so you can see them in your account.

You can still keep the gallery private. Add a password for extra protection and an expiry date to set a deadline for choosing. After the date passes, clients see “This gallery has expired” and your photos remain in your account, ready if you decide to reopen it.

Stats on each gallery show client visits, downloads and favorites, which makes a gentle reminder easy when someone has looked but has not chosen yet.

Proofing checklist for photographers

When you compare proofing tools, these are the points worth checking.

  • Can you use your own text or logo as the watermark, and control where and how strongly it appears?
  • Can you limit how many favorites a client may pick?
  • Do you decide which photos are released, rather than the client?
  • Are released photos clean and full-resolution?
  • Can the client do all of this comfortably on a phone?
  • Can you also deliver video and RAW files in the same gallery?
